What is in the template

This is a proper GST tax invoice, not a blank grid. The header carries your company name, address and GSTIN and the invoice number, date, place of supply and reverse-charge flag. A Bill To / Ship To block holds the customer name, GSTIN and address. Below that sits the line table, then a totals block, an amount-in-words row, and space for bank details and terms — the same shape as a printed tax invoice. New to this? The GST fields a tax invoice must carry

Whatever tool you use, a valid tax invoice under the GST rules needs a fixed set of particulars. The template lays all of them out so nothing is missed — but it is worth knowing what they are and why they matter, because a bill that skips one can be questioned by your customer's accountant or by the department.

CGST + SGST or IGST? The 30-second rule

The one thing owners get wrong most often is the tax split, so here is the short version. If the place of supply is in your own state, the sale is intra-state: charge CGST plus SGST, splitting the rate in half (a 18% item becomes 9% + 9%). If the place of supply is in another state, the sale is inter-state: charge a single IGST at the full rate. Leave the columns you are not using blank in the template — the totals ignore empty cells. A billing system does this for you from the customer's state, which is why the manual choice disappears once you move off the spreadsheet.

How to fill it in — five steps

1. Download and open

Click download the Excel template and open the .xlsx in Excel, Google Sheets or LibreOffice Calc. The formulas work in all three.

2. Enter your company and invoice details

Replace the bracketed seller name, address and GSTIN at the top, then set the invoice number, date and place of supply. Keep invoice numbers in a single unbroken series — gaps and duplicates are the most common GST slip.

3. Add the customer

Fill the customer name, GSTIN and billing or shipping address in the Bill To block. The place of supply decides whether you charge CGST + SGST or IGST.

4. Add your item lines

For each item type the description, HSN or SAC code, quantity and rate. The Amount and Taxable Value columns fill themselves. Copy the sample row's formulas down if you need more lines.

5. Set GST, then finish

Enter the CGST and SGST percentages for an in-state sale, or the IGST percentage for inter-state. The tax amounts, sub-total, tax totals and grand total all roll up automatically. Type the grand total in words, add your bank details and terms, then save or print.

Honest note: what a spreadsheet cannot do

This template is genuinely useful for low volumes, but be clear about its limits. Excel does not know your HSN codes or GST rates, cannot pick CGST/SGST versus IGST by place of supply, cannot generate an e-way bill or e-invoice, and cannot spell the amount in words. Every one of those is a manual step you repeat on each invoice — and every manual step is a chance to mistype a rate or clash an invoice number.

Is this GST invoice Excel format really free?

Yes. The template downloads directly with no sign-up, no email and no payment — click the button and the .xlsx file saves to your device. Use it for your own business as-is, or as a starting point you edit. We share it because a business that outgrows a spreadsheet often becomes a good fit for our software later; there is no catch.

Is a GST invoice made in Excel legally valid?

A tax invoice is valid if it carries the particulars the GST rules require — your name, address and GSTIN, invoice number and date, the customer's details and place of supply, HSN/SAC codes, taxable value, the CGST/SGST or IGST charged, and the total. This template includes all of those fields. Excel is fine for low volumes; the risk is human error at scale, which is exactly what dedicated software removes.

Does the Excel template calculate GST automatically?

Partly. The amount, taxable value, tax amounts, sub-total and grand total use live spreadsheet formulas, so they update as you type quantity, rate and the GST percentage. But Excel cannot look up the correct HSN code or GST rate for you, cannot decide CGST/SGST versus IGST by place of supply, and cannot spell the total in words — you enter those yourself. How do I convert the invoice total into words?

In plain Excel you type it manually — for example “Rupees Nine Thousand Five Hundred Twenty Only”. There is a marked cell for it in the template. A spreadsheet has no built-in Indian-format amount-in-words function, so it is a manual step every invoice. Billing software generates the amount in words automatically on every invoice and credit note.

When should I move from an Excel invoice to billing software?
